To connect Cloudbeds to ProhostAI, open the Cloudbeds Marketplace in your Cloudbeds account, find ProhostAI, and click Connect App — there is no API key to copy and no password to share. Approve the permissions Cloudbeds shows you, then sign in to ProhostAI to finish. Your room types, reservations and calendars import automatically and the AI starts learning from your property. Setup takes about 5 minutes.
ProhostAI connects to Cloudbeds through the Cloudbeds Marketplace, so you authorize the connection inside Cloudbeds itself and never share your Cloudbeds password with us.
Before you start
You need a ProhostAI account and a Cloudbeds user that can manage apps for the property you want to connect. If you manage several properties in Cloudbeds, connect them one at a time — each property authorizes ProhostAI separately.
Don't have a ProhostAI account yet? Sign up at app.prohost.ai first, then come back to this guide — the connection needs somewhere to land.
Connecting your account
In Cloudbeds, go to Marketplace => search for ProhostAI => open the ProhostAI app page.
Click "Connect App". Cloudbeds shows you exactly which permissions ProhostAI is asking for, so you can review them before you agree. Approve them to continue.
Cloudbeds sends you back to ProhostAI. Sign in to your ProhostAI account if you are not already signed in, and the connection finishes automatically.
Your room types and reservations will be imported. Depending on how many room types and bookings the property has, it might take several minutes to finish.
What gets synced
ProhostAI imports your room types as listings, along with their physical room counts, plus your reservations, rates and availability. Reservations stay up to date automatically from then on — when a booking is created, changed, moved or cancelled in Cloudbeds, ProhostAI sees it within moments.
Cloudbeds does not provide a guest messaging inbox, so guest conversations in ProhostAI come from your other connected channels rather than from Cloudbeds.
Disconnecting
You can disconnect from either side, and either one ends the connection.
From Cloudbeds. Go to Account => Apps & Marketplace => Connected Apps, find ProhostAI, and click "Disconnect App". Access is revoked immediately, and ProhostAI will no longer appear in your Connected Apps section. Cloudbeds has its own guide for this — see How to disconnect an app from Cloudbeds PMS in the Cloudbeds help centre. If you want to confirm the disconnection afterwards, Cloudbeds records it under Logs => Activity Logs, filtering Change Made by App Disconnected under API and Apps.
From ProhostAI. Go to Settings => Connections, find Cloudbeds, and click "Disconnect".
Either way, ProhostAI stops calling the Cloudbeds API straight away and removes the webhook subscriptions it created on your property, so no further reservation updates are sent. Your existing ProhostAI data — past messages, tasks and AI memories — stays in your ProhostAI account; disconnecting stops the sync, it does not delete your history. To reconnect later, start again from the Cloudbeds Marketplace.
If something goes wrong
If the connection doesn't complete, the most common cause is that the authorization window expired before you finished signing in to ProhostAI — start again from the Cloudbeds Marketplace and it will work.
If your room types import but the room counts look wrong, or a multi-unit property looks fully booked when it isn't, contact us rather than reconnecting repeatedly — that's something we should look at directly.
