Overview

Your inbox isn't just OTA messages. ProhostAI unifies every channel a guest might use — so guest threads stay together regardless of where the conversation started.

Supported channels:

  • OTA messages — Airbnb, Vrbo, Booking.com, and PMS-backed platforms (Hostaway, Guesty, Hospitable, OwnerRez, etc.)
  • Email — via Gmail or transactional email
  • SMS — sent and received through your ProhostAI phone number
  • WhatsApp — both inbound and template-based outbound
  • Instagram & Messenger — Meta DMs through Instagram Direct and Facebook Messenger
  • Voice — calls in and out, with AI transcripts (see the Voice category)
  • Internal team chat — dedicated thread type for staff conversations

Connecting a channel

Open Settings → Connections to enable each channel. Most channels require an OAuth flow with the upstream provider. Once connected, conversations from that channel appear in the unified inbox automatically.

Filtering by channel

In the inbox, use the channel filter at the top to narrow to one source — useful when an Airbnb guest also texts you and you want to consolidate context.

AI replies across channels

AI replies, AI memory, and Autopilot work the same way regardless of the channel. The AI knows it's writing for SMS vs. Airbnb and adjusts the tone (shorter for SMS, more formal for OTA inboxes).
