Auto-create tasks at check-in or check-out — no recurring schedule needed

Overview

Triggered tasks fire on a reservation event instead of on a fixed schedule. The most common triggers are check-in and check-out — for example, "every check-in: confirm the welcome basket is in place" or "every check-out: send the deep-clean checklist to the cleaner."

How it differs from recurring tasks

  • Recurring tasks repeat on a calendar (every Monday, every quarter)
  • Triggered tasks fire when a reservation reaches a milestone (this check-in, this check-out)

If you want a task tied to bookings rather than dates, use a triggered task.

Creating a triggered task

Open Tasks → Triggered. Click + New Triggered Task and configure:

  • Trigger — currently new_reservation is supported, with the due date computed from check-in or check-out
  • Due-date referenceCheck-in or Check-out
  • Offset — how many hours / days before or after the reference point the task is due
  • Listing(s) — limit to specific properties or apply to all
  • Title, category, priority, assignee — used as the template for every generated task

Example: pre-arrival inspection

  • Trigger: new reservation
  • Due-date reference: check-in
  • Offset: -1 day
  • Title: "Pre-arrival walkthrough"
  • Assignee: head cleaner

Every booking will auto-create a walkthrough task due the day before the guest arrives.
