Control what each teammate can see and do, by feature and by listing

Overview

ProhostAI's permissions system controls what each teammate can see and do. The two main dimensions are feature (Inbox, Tasks, Cleanings, etc.) and listing (which properties they have access to).

Roles

  • Admin — full access; can manage settings, billing, and other teammates
  • User — standard role, scoped by the per-feature and per-listing settings you configure

Permission presets

Rather than picking each permission individually, you can start from a preset and customize from there:

  • All Access — every feature
  • Property Manager — broad access across the inbox, calendar, tasks, cleanings, reservations, listings, and more
  • Cleaner — cleanings, tasks, and reviews
  • Maintenance — tasks
  • Owner — earnings, reservations, listings, reviews, calendar, and financial data

Per-feature access

For each feature, the teammate gets one of two access levels:

  • Read — can view but not edit
  • Write — can view and edit (write implies read)

Leaving a feature ungranted hides it entirely — there's no separate "no access" level, it's simply the absence of a grant.

Restrict to assigned

For Tasks and Cleanings only, you can additionally turn on Restrict to assigned, so the teammate sees only the records assigned to them. This is a separate toggle layered on top of the read/write level.

Per-listing access

Pick the specific listings the teammate can see, or turn on:

  • Auto-grant new listings — automatically gives the teammate access to any new listing you add. Useful for full-time co-hosts.
