Overview
ProhostAI's permissions system controls what each teammate can see and do. The two main dimensions are feature (Inbox, Tasks, Cleanings, etc.) and listing (which properties they have access to).
Roles
- Admin — full access; can manage settings, billing, and other teammates
- Member — standard role, scoped by the per-feature and per-listing settings you configure
Permission Presets
Rather than picking each permission individually, use a Permission Preset:
- Co-host — full access to inbox, calendar, tasks, cleanings for assigned listings
- Cleaner — cleanings only, restricted to assigned listings
- Maintenance — tasks only, restricted to assigned listings
- Read-only — view-everything, edit-nothing
You can also start from a preset and customize from there.
Per-feature gating
For each feature, the teammate can be:
- No access — feature is hidden
- Read-only — can view but not edit
- Full — can view and edit
- Restrict to assigned — can only see records assigned to them (Tasks and Cleanings only)
Per-listing access
Pick the specific listings the teammate can see. Or:
- All current listings — sees every listing in the account today
- Auto-grant new listings — automatically gets access to any new listing you add. Useful for full-time co-hosts.
