Send payouts and expenses through to your books.
The bookkeeping happens as the work does.
Every stay creates bookkeeping — a payout, a cleaning cost, a supplier invoice. Connect QuickBooks and that record can reach your books as it happens rather than being reconstructed at month end.
integrationsPage.detail.overview
Property management generates transactions faster than anyone reconciles them. A weekend produces cleaner payments across four properties, a plumber invoice, three platform payouts with different fee structures, and a refund. None of it is complicated; all of it is fiddly, and it accumulates.
The usual outcome is a monthly catch-up where somebody reconstructs six weeks of activity from a bank feed and their memory. Errors here are not dramatic — a cost attributed to the wrong property, a fee booked as revenue — but they quietly corrupt exactly the numbers you use to judge whether a property is worth managing.
Connecting QuickBooks lets the entry happen at the point of the event. A completed cleaning with a payment attached can become an expense against the right property, and platform payouts can land as income rather than an unexplained deposit. What is left at month end is review rather than reconstruction.
integrationsPage.detail.capabilities
Once QuickBooks is connected, ProhostAI works with your books in plain language. There is no accounting screen inside the app.
Read
- Answer from the books — Pull real figures rather than estimates. “What did we spend on maintenance at the lake house this year?”
- Check what is outstanding — See unpaid invoices and bills without opening QuickBooks.
Create & update
- Record expenses — Push cleaner payments, supplier invoices and repairs through as expenses against the right property.
- Record income — Book platform payouts as income so a deposit is not left unexplained.
integrationsPage.detail.howToConnect
QuickBooks connects through Intuit OAuth, so ProhostAI never sees your password and you can revoke access from Intuit at any time.
- 1Open ProhostAI and go to Settings → Connections.
- 2Search for QuickBooks and select Connect.
- 3Sign in to Intuit, choose the company file and approve the permissions.
- 4Ask what you spent on a property this year to confirm the connection works.
integrationsPage.detail.goodToKnow
QuickBooks stays the system of record. Your accountant’s chart of accounts and reporting are unchanged.
Decide how properties map to your accounting structure — classes, locations or customers — before pushing many entries through.
Choose the right company file at connection time. Connecting the wrong one is tedious to unpick.
Revoking ProhostAI in your Intuit account settings ends access immediately.
