Box tends to show up in property businesses that answer to somebody: a fund, a group of owners, an insurer. The appeal is control — granular permissions, audit trails, retention policies — and that control is exactly why nobody wants a second copy of everything living somewhere else.
Connecting Box avoids that. ProhostAI reads files in place, through an account whose permissions you already decided, so a document nobody is supposed to see stays unseen. Ask for a policy or an agreement and the AI opens the file it is allowed to open and answers from it.
New documents go back the same way. A signed form, a contractor invoice, a report the AI produced — filed into the folder that already has the right access rules on it, rather than into an inbox somebody has to sort later.

Once Box is connected, ProhostAI works with it in plain language, inside the permissions the connected account already has.
Read
- Find a document — Search the folders the connected account can reach, without knowing where something was filed. “Find the current insurance certificate for the Harbour building.”
- Answer from its contents — The AI opens the file and replies from what it says, so terms and policies are quoted rather than remembered.
Create & update
- Upload into the right folder — File a document where the correct access rules already apply. “Put this signed form in the owner documents folder.”
- Share a link — Create a Box share link for someone who needs a specific document.

Box connects through OAuth, so ProhostAI never sees your password and an administrator can revoke access at any time.
- 1Open ProhostAI and go to Settings → Connections.
- 2Search for Box and select Connect.
- 3Sign in to Box and approve the permissions on the Box consent screen.
- 4Ask for one of your documents to confirm the connection works.

ProhostAI inherits the permissions of the account you connect. It cannot see a folder that account cannot see, which makes the connected account the control you tune.
Because that is true, connect an account whose access matches what the AI should be able to discuss — not necessarily an administrator’s.
Files are read on request rather than copied, so retention and versioning stay Box’s job.
In enterprise tenants, an admin may need to approve the application before the connection can be completed.
