Google Drive is where most small property teams quietly keep their operating manual. Not in one document — in forty, spread across folders named after properties, years, and whoever set them up. That works right up until somebody needs an answer quickly and the person who knows the folder structure is asleep.

Once Drive is connected, ProhostAI reads it on request. Ask what the cancellation terms are on a particular owner agreement and the AI opens that agreement and tells you, rather than guessing from a summary somebody typed into the app months ago. The document stays the source of truth, which means updating the document is all you have to do to update the answer.

Because Drive holds Docs and Sheets as well as files, this covers more than storage. A rate sheet, a cleaning checklist, an owner statement — anything the AI can read, it can answer from, and anything it produces can be written back into the same folder for the rest of the team.

Google Drive connects through Google OAuth, so ProhostAI never sees your password and you can revoke access from your Google account at any time.

  2. 2Search for Google Drive and select Connect.
  3. 3Choose the Google account to connect and review the permissions on the Google consent screen.
  4. 4You land back in ProhostAI with Drive connected. Ask for any document to confirm it works.

ProhostAI reaches only the Google account you connect, with the permissions granted on the consent screen. You can revoke it at any time from your Google account’s third-party access settings.

Files are read on request rather than imported, so a document you edit in Drive is current the next time anyone asks about it — there is no re-sync step.

Shared drives work, but the connected account still needs access to them. If a folder is invisible to that account in Drive, it is invisible to ProhostAI too.

Yes, connecting Google Drive is included with ProhostAI at no extra charge. You bring your own Google account, on any plan including a free personal one.

Yes. ProhostAI can read Docs and Sheets in the connected account as well as ordinary files, so it can answer from a rate sheet or a checklist without you exporting anything.

No. Files are read on request rather than imported, so what the AI tells you reflects the document as it stands right now, and editing the document is all it takes to change the answer.

Connect the account that already has access to your property folders — usually the shared team or workspace account rather than a personal one, so access does not disappear when a team member leaves.

Open Settings → Connections in ProhostAI and disconnect Google Drive, or remove ProhostAI from the third-party access section of your Google account settings. Either ends access immediately.

It can see whatever the connected Google account can see, shared drives included. If that account has not been given access to a shared drive in Google, ProhostAI cannot reach it either.
