Let the AI handle the mail and calendar you run on Microsoft.

Ask for the email instead of writing it.

If your business email is Outlook, connecting it lets ProhostAI read and send mail and manage calendar events on request — the owner update, the contractor confirmation, the booking held in a calendar slot.

integrationsPage.detail.overview

Outlook is where a lot of property businesses keep the correspondence that is not with guests: owners, accountants, contractors, insurers. It is also where the diary lives, which means half the operational truth of the week is in a calendar nobody else can see.

Connecting Outlook makes both reachable by asking. Have the AI find the last thread with an owner and summarise where it got to, draft the reply, or put the contractor’s visit in the diary with the right people invited. The account stays exactly where it was; it just becomes something you can operate through a sentence.

This is deliberately agent-managed rather than a second inbox. Connecting Outlook does not pull your mail into the unified guest inbox — guest conversations belong there, business correspondence belongs in Outlook, and the AI works across both without merging them.

integrationsPage.detail.capabilities

Once Outlook is connected, ProhostAI works with your mail and calendar on request. There is no Outlook screen inside the app.

Read

  • Find and summarise threadsTrack down a conversation and get the state of it without reading twenty messages. “What did we last tell the Harbour owner about the boiler?”
  • Check the diaryRead calendar events so the AI knows what is already booked before it suggests a time.

Create & update

  • Draft and send mailWrite the owner update or contractor confirmation and send it from your own address. “Email the Harbour owner confirming the repair for Thursday.”
  • Create calendar eventsPut a viewing, a visit or a handover in the diary and invite whoever needs to be there.

integrationsPage.detail.howToConnect

Outlook connects through Microsoft OAuth, so ProhostAI never sees your password and you or an admin can revoke access at any time.

  1. 1Open ProhostAI and go to Settings → Connections.
  2. 2Search for Outlook and select Connect.
  3. 3Sign in with the Microsoft account and approve the permissions.
  4. 4Ask the AI to find a recent thread to confirm the connection works.

integrationsPage.detail.goodToKnow

Connecting Outlook does not route incoming mail into the unified guest inbox. It is agent-managed: the AI reads and sends on request, and guest conversations stay in ProhostAI’s own inbox.

Mail is sent from the connected account, so replies come back to Outlook as normal and your sent items reflect what went out.

On a business tenant an administrator may need to approve the connection once.

Revoking the app in your Microsoft account settings ends access immediately.

integrationsPage.detail.faqTitle

No. It is agent-managed rather than a second inbox — the AI reads and sends on request, while the unified inbox stays for guest conversations across Airbnb, WhatsApp and the rest.

It sends from the connected account, so the message comes from your address and replies return to Outlook as usual.

Yes. It can read events and create new ones with invitations, which is what lets it schedule a contractor visit or a viewing without you opening the diary.

On most Microsoft 365 business tenants, yes — a one-time administrator consent rather than a step for each user.

Open Settings → Connections in ProhostAI and disconnect it, or remove ProhostAI from the app permissions section of your Microsoft account.
